Q: Can you provide samples of the "proper business forms" that independent photographers and authors should use for clients?

A: The following are examples of the forms I use when working with my clients. More detailed examples can be found in the publications of the American Society of Media Photographers (ASMP). The paper trail you should provide for every client includes the following (in the order used):

1. A written Estimate (including all fees, terms and conditions)
2. An Assignment Confirmation (including all info above, and requiring a client signature)
3. An Invoice (including the same terms & conditions and fees reflecting actual work done)
4. A Delivery Memo (reiterating all above, specifying exactly what is being delivered to client and what usage is licensed, and requiring client signature).
